Klara Consulting provides outsourcing services in accounting, payroll, business advisory, and auditing, enabling companies to focus on their core activities. Malin Pettersson leads the implementation team within the payroll business area, ensuring that clients work with smart system solutions and that her team efficiently manages payroll assignments.
– I work closely with both clients and colleagues to ensure our support system is satisfactory and effective for both clients and payroll consultants. I also lead projects for onboarding and system setup for new payroll clients, she explains.
Why the Choice Fell on Flex HRM
Malin and her team have been working with Flex’s systems for many years.
– We have been working with Flex's systems ever since I started at Klara Consulting 15 years ago, and initially, we worked with Flex Classic Tid and Flex Classic Res. We began using Classic for the same reason we use Flex HRM today – to provide our clients with an easy way to report the data required to ensure accurate payroll processing.
While the capabilities of the system have evolved, the fundamental principle remains the same, Malin says.
“Flex HRM has enabled us to create the solutions needed for a quality-assured and effective process.”
– With Flex HRM, we can offer system support that makes the payroll process more qualitative and creates the right conditions for both our clients and our consultants. One should never underestimate paper and pen, Excel, and the calculator – but oh, how much more fun and enriching it is to work with good tools and systems, she adds.
Malin has been a process and system owner for the modules since the beginning with Flex Classic, and Klara Consulting was a pilot customer when Flex developed the Flex HRM Payroll system.
– We're very satisfied with Flex HRM. Naturally, there will always be aspects you're more pleased with and others you find lacking, but what best suits us and our customers with Flex HRM is the adaptability – allowing for custom builds rather than being confined to standard features – which has enabled us to create the solutions needed for a quality-assured and effective process.
Using Flex HRM as a Comprehensive Solution
With over 15 years of experience with Flex, Malin and her team have developed an in-depth understanding of the system’s workings.
– We use Flex HRM as a comprehensive solution for our clients, covering presystems, payroll, and HR systems. We work with all of Flex’s modules, and many parts of our corporate group already utilize Flex HRM for their clients as well.
When setting up the system for a new client, various components are gradually introduced.
– We leverage Flex HRM's scalability, often starting with Time, Travel, and Payroll. We assist clients through transitions, modifying existing setups, and adding components like salary revisions or salary mapping. We are involved throughout their annual cycle, as we want to help them with everything that happens during the year.
The team is also involved in testing new system modules released in Flex HRM, Malin explains.
– We always have clients piloting with us. For instance, we developed a migration model in collaboration with Flex that moves clients from Flex Lön Classic to Flex HRM Payroll, reducing work time by about 40 percent while retaining all data. It's a win-win – the clients enjoy a smooth transition, and they can then work with the system and payroll processing that we ourselves aim to utilize.
Easily Tailored System for Diverse Needs
Since Klara Consulting works with a wide variety of clients whose processes differ, it's crucial to have a system where modules and functions can be flexibly adjusted, Malin explains.
– The most important advantage for us as an outsourcing agency that provides tailored solutions to our clients is using a system that is scalable according to needs. The system's flexible structure, which allows for the creation of automated solutions, is also vital for us to meet our clients' needs. Such solutions can range from generating a specific report to automating the accrual of compensatory time on public holidays.
When asked about getting support from Flex when needed, Malin mentions that she feels access to more advanced system support could be improved. However, she adds that the collaboration generally works well, and she and her colleagues are always able to share their opinions and ideas with Flex to find new smart solutions and improvements.
Malin further explains that Flex HRM provides her team with a great opportunity to work closely with clients within the same system.
– It gives the client an increased sense of control. The fact that we share the same system but are responsible for different parts enhances both our and the client's overview of personnel data and task automation, facilitating communication among all parties involved, she explains and adds:
– It's also great that clients become part of our work, meaning we can establish a process without intermediaries, unnecessary emails, and manual tasks. We work in the same system and have access to the same information!
