Errors and oversights in payroll management can be seriously problematic for a company, and catching them in time requires a meticulous and time-consuming verification process.
– One of the biggest challenges for payroll specialists is identifying and correcting potential errors before salaries are paid out. The new AI tool in Flex HRM Payroll is designed to make it incredibly easy to spot discrepancies and notify you of necessary corrections, says Rickard Åsell, Product Manager at Flex Applications.
Accurate Troubleshooting with Machine Learning
So, what makes AI so effective for this task? Rickard Åsell explains:
– The advantage of using AI techniques is that they can identify patterns based on historical data. By training the tool with previously verified pay slips from a specific company, it learns 'how things should look' for that particular company. Any deviations from this pattern will be flagged to help you, as a payroll specialist, know where to focus your attention when performing your checks.
Rickard elaborates on the benefits of using AI support compared to the rule-based checks that have previously been standard in payroll systems.
– The traditional approach has involved using fixed rules and criteria. The drawback is that this only allows us to identify errors that we've explicitly told the tool to look for. In contrast, the AI model employs machine learning and algorithms to detect patterns and anomalies. This allows it to uncover significantly more intricate discrepancies, potentially even those that might slip past human eyes. A major plus is that it continues to learn with each pay run, becoming increasingly accurate over time.
Easy to Get Started
Intuitive and user-friendly design has been a priority for Rickard and his team throughout the development process.
– We've also invested a lot of time in making the feature as simple to use as possible. When you're working in payroll preparation, discrepancies found by the system will be displayed with clear graphics. It could involve the net salary differing unreasonably from previous payments or the absence of tax deductions, to mention a few examples. Alongside the payroll preparation, a comprehensive list of all discrepancies will be shown, allowing you to easily click through to each employee, says Rickard.
They've also focused on minimizing the onboarding time for users, avoiding complicated configurations.
– Our goal is for you to be able to get started and run the feature practically at the same moment as you gain access.
Close Collaboration with Pilot Customers
So, what's next for the project? Rickard Åsell shares:
– We're currently finalizing the foundational components of the feature and will soon be able to test it on real data. During the project, we're working hand-in-hand with a select group of pilot customers to ensure the feature is user-friendly and successfully captures the right types of discrepancies. We're excited to receive their feedback. By collaborating with our customers, I believe we can develop a very useful and well-received final product.
